Handling of Personal Information

Hotel Piazza Biwako (hereinafter referred to as "the Hotel") will make every effort for the proper handling of customers' personal information in accordance with the Act on the Protection of Personal Information implemented as of April 1, 2005, as follows:

1. Purpose of Use of Personal Information

The Hotel will use customers' personal information (name, telephone number, address, age, place of employment, email address, nationality and passport number in case of foreign customers) only for the following cases but not for any other purposes:
(i) In case where there is any need to communicate with a customer for confirmation or booking of reservation and for response to an inquiry from a customer;
(ii) In case where a customer wants to disclose for guidance on accommodation plans, etc.

2. Restrictions on Provision to a Third Party

The Hotel will not provide any third party with customers' personal information without obtaining a customer's consent to do so, except in the following cases:
(i) In case of provision based on laws and regulations;
(ii) In case when it is necessary to protect the life, body, or property of an individual, where it is difficult to obtain the consent of the customer;
(iii) In case when there is a need to improve public health or promote healthy child development, where it is difficult to obtain the consent of the customer;
(iv) In case when it is necessary for us to cooperate with a national government organ, local government, or person entrusted thereby with performing the functions prescribed by laws and regulations, where obtaining the consent of the customer is likely to interfere with the performance of those functions.

3. Security Measures

The Hotel will take the necessary and appropriate measures to ensure the secure management of the retained personal information, such as measures to prevent leakage, loss, or damage to the personal information we handle. Also, the Hotel will exercise the necessary and appropriate supervision over the employees to ensure the secure management of the personal information, as well as if the Hotel entrusts another person with the handling of personal information, it will exercise the necessary and appropriate supervision over the person it entrusts.

4. Disclosure, correction and discontinuance

When the Hotel is requested by a customer to disclose, correct, or discontinue using the retained personal data, it will endeavor to respond to the request without delay. If, pursuant to the provisions of laws and regulations, the Hotel intends not to respond to the request, it will explain the reasons therefor to the customer.
